PayrollTimeCalc ("we", "us", "our") is committed to protecting your privacy. This policy explains what information we collect, how we use it, and your rights regarding that information.
Free tier (no account required): We do not collect personally identifiable information. We log your IP address anonymously to enforce the daily calculation limit (5 per day). IP logs are stored only for the current calendar day and are deleted nightly. No name, email, or timesheet data is stored on our servers for free-tier users.
Pro tier (paid subscription): To process your subscription, Stripe collects your payment card details and email address. We receive from Stripe: your email address (to deliver your license key) and a subscription identifier (to manage your account status). We store on our servers: your email address, your license key, and any employee profile data and timesheet records you explicitly choose to save — employee names, hourly rates, overtime rule preferences, and timesheet entries.
We do not use advertising cookies or third-party tracking cookies. The only client-side storage we use is browser localStorage to remember your Pro session token across page refreshes. This token contains no personal data — it is a random identifier that maps to your license on our server. You can clear it at any time by clearing your browser's local storage.
We do not sell, rent, or share your personal data with third parties except as strictly necessary to operate the service: Stripe (payment processing, PCI DSS Level 1 certified) and our transactional email provider.
Free-tier IP rate-limit data is deleted nightly. Pro-tier data (email, employee profiles, timesheets) is retained for as long as your subscription is active, plus 90 days after cancellation to allow reactivation. After 90 days of inactivity following cancellation, your data is permanently deleted from our servers.

All data in transit is encrypted using HTTPS/TLS. Your data is stored on a private server with restricted access. We do not store payment card information — all payment processing is handled exclusively by Stripe. Database files have restricted filesystem permissions. API keys and secrets are stored as environment variables, never in source code.
PayrollTimeCalc is not directed at children under 16. We do not knowingly collect data from children. If you believe a child has submitted data, contact us and we will delete it promptly.
We may update this policy to reflect changes in our practices or legal requirements. We will post the revised policy here with an updated effective date. Continued use of the service after changes constitutes acceptance of the updated policy.
